About American HVAC Warehouse Returns

American HVAC Warehouse is a leading direct seller of heating, ventilation, and air conditioning equipment across the United States. We stand behind the products we sell and are committed to providing dependable customer service.

We guarantee that all products shipped from American HVAC Warehouse arrive brand new and in excellent condition. If you are not fully satisfied with your purchase, you may request a Return Merchandise Authorization (RMA) for any item that has not been used or installed. Please note that a 15% restocking fee applies to all approved returns unless the item is confirmed to be defective.

Required for all returns
A return shipping tracking number is mandatory, and products must be shipped using a traceable carrier. The customer is responsible for arranging return shipping and sending the return shipping tracking number to Sales@americanhvacwarehouse.com along with their name and order number on the same email.


Returns for Unused / Not Installed Items

Returns and refunds are available only for products purchased directly from American HVAC Warehouse. If your item was purchased from another retailer, please contact that seller directly and follow their return policy.

To begin a return:

  1. Verify your request is within 30 days of receiving the product(s).

  2. Request the return by sending an email to Sales@americanhvacwarehouse.com with the order number you'd like to return along with your name.

If an incorrect item was shipped due to our error, we will send the correct product at no additional charge and arrange and pay for return shipping.


Requirements, Tips, and Exclusions

Requirements for Refund Eligibility

To qualify for a refund, the following conditions must be met:

  • Returned products must not have been installed.

  • Items must be free of damage, scratches, or defects.

  • Products must be in resalable condition.

  • All original manufacturer packaging, manuals, accessories, and packing materials must be included.

  • Any free or promotional items must be returned with the main product.

  • Writing on or labeling original manufacturer packaging is not permitted.

  • Freight-shipped items must be returned using a freight carrier.

  • Customers must ship returns using a traceable carrier such as FedEx or UPS.

  • Products must be shipped back within 30 days of the delivery date on the order.

Helpful Tips

  • If you are unsure whether to ship via ground or freight, contact us before returning the item.

  • Keep your tracking number for at least 90 days after shipment.

  • Ship your return promptly after receiving confirmation from American HVAC Warehouse that your return request has been accepted.


Items That Must Be Returned via Freight

  • Gas Furnaces and Electric Air Handlers

  • Gas or Electric Package Units

  • Ductless Mini Split Systems

  • Air Conditioner Coils (Horizontal, Vertical, Cased/Uncased, Slab)

  • Heat Pump or Air Conditioner Condensers


Customer Responsibilities & Applicable Charges

  • Customers are responsible for return shipping costs unless the return is due to our error.

  • Responsibility for loss or damage during return transit lies with the customer.

  • Any shipping damage or loss must be claimed directly with the carrier.

  • A 15% restocking fee applies to each returned item unless it is defective.


How to Return Items (Ground vs. Freight)

Ground Shipments

1) Package the product
Pack all items securely using original manufacturer packaging. Place manufacturer boxes inside an outer box to prevent markings.

2) Provide the tracking information to American HVAC Warehouse
Email Sales@americanhvacwarehouse.com your tracking number, name, and order number.

3) Ship with tracking
Use a traceable shipping service (FedEx or UPS recommended) and send the return.


Freight (LTL) Shipments

If your order was delivered on a pallet, it must generally be returned via LTL freight. If unsure, contact us before shipping.

1) Pack and secure
Ensure all items are properly packaged and secured for pallet transport.

2) Provide the tracking information to American HVAC Warehouse
Email Sales@americanhvacwarehouse.com your tracking number, name, and order number.

3) Schedule freight pickup
Choose a freight carrier and arrange delivery. Retain the tracking number for at least 90 days.


What Happens After We Receive Your Return?

Once returned items arrive at our facility, they are inspected to confirm all return requirements are met. Inspections typically take 1–2 business days.

Approved Returns

Credits are issued within 2–3 business days after approval. Depending on your payment method, funds may take up to 10 business days to appear.

Denied Returns

If returned items do not meet policy requirements, you will be notified. The product(s) will be held for pickup, and no refund will be issued.

Storage Notice
If we are unable to contact you within 10 business days after a failed inspection, storage fees may apply.
